Dallas law firm is seeking a Conference Center Supervisor who will provide oversight for all functions of the Conference Center.

Responsibilities Include:

  • Ensures satisfaction of internal clients and visitors of the Conference Center
  • Plans, coordinates, and implements special events taking place in the Conference Center
  • Work directly with attorney and/or event organizer to coordinate special events
  • Ensure service objectives are performed in a professional and timely manner
  • Monitor the workflow of Conference Center staff and makes adjustments as necessary
  • Obtain approval and billing information for all expense-related activity, including food and beverage, equipment rentals, etc.
  • Monitor accuracy of charges and conduct monthly reconciliation of bills
  • Coordinate support for all Conference Center needs with internal departments to provide seamless service
  • Establish and maintain professional and high standards for all aspects of meeting rooms, reception area and catering kitchen
  • Ensure proper protocol is followed when guests arrive and attorneys are contacted
  • Maintain inventory of consumable goods, meeting room supplies and kitchen items
  • Set exceptional guidelines for food and beverage selection and presentation
  • Evaluate, recommend and cultivate relationships with caterers for preferred vendor lists
  • Devise tools, set guidelines, and supervise Conference Center staff to ensure correct food and safety practices
  • Keep up-to-date on alcoholic beverage serving rules for Texas, hires bartenders as required
  • Disseminate pertinent information to support staff through confirmations, daily reports, email communication and pre-event meetings
  • Conduct routine conference room inspections to ensure pristine condition and maintenance of the conference rooms
  • Maintain and update Conference Center informational binders as needed
  • Coordinate meeting room bookings, utilizing the reservation system and focusing on the strategic assignment of meeting space so as to maximize utilization
  • Supervise the receptionists and ensure efficient and effective coverage of the desk at all times
  • Supervise and work closely with the Conference Center Coordinator

Minimum Qualifications:

  • High school diploma or equivalent required
  • Bachelor’s degree or equivalent work experience preferred
  • 3+ years catering, conference center, or event planning experience within a law firm, professional services, or hospitality environment preferred
  • Supervisory experience required
  • Proficient in Microsoft Office and scheduling software
  • Certification as a Meeting Professional desirable
  • Ability to obtain Texas Food Handlers Certificate
  • Exceptional ability to organize, prioritize and multi-task in a fast-paced, professional, high profile environment
  • Strong project management, decision-making, and problem solving skills
  • Ability to communicate with clients, vendors and within all levels of the organization
  • Excellent written and verbal communication skills
  • Ability to work under pressure and to prioritize workload
  • Dedication to quality and excellent customer service skills
  • Must be courteous, professional, and dependable
  • Flexibility to work weekends and evenings as necessary to meet demand
  • Requires regular and predictable attendance during the assigned work schedule
